Email + Marketing Privacy Policy (Website/Webserver Emails)

Purpose

To explain how Northern Lights Living collects, uses, stores, and protects information related to emails sent and received through our website and email systems, including newsletters and marketing emails.

Scope

This policy applies to:

  • Emails sent to us through our website (for example, contact forms)

  • Automated emails sent from our website/webserver (for example, form confirmations)

  • Newsletters and marketing emails sent from our systems

  • Email delivery records, opt-in records, and email engagement data (when available)

Information We Collect

Depending on how someone interacts with us, we may collect:

  • Contact information (name, email address, phone number)

  • Message content submitted through our website or by email

  • Subscription details (when and how someone opted in, preferences selected)

  • Manual list-add details (when we added an address, source, and purpose)

  • Technical and delivery information (IP address, timestamps, delivery status, security logs)

  • Email engagement data when available (opens, clicks, unsubscribes). Note: this may be limited by email client privacy settings.

Important: Do not send sensitive medical information by email. Email is not guaranteed to be a fully secure communication channel.

Marketing Lists: Website Form Sign-ups and Manual Additions

We build our email list in two ways:

  • Website form sign-ups: If someone subscribes through our website form, we will send newsletters and marketing emails based on the preferences selected (if applicable).

  • Manual additions: We may also add an email address manually, such as when someone requests information, becomes a client, or provides an email address to receive updates.

If we add an email address manually, we will do so for a legitimate business purpose, such as providing requested updates, sharing relevant resources, or sending important service-related announcements.

Consent, Unsubscribe, and Opt-Out
  • We aim to send marketing emails only when we have permission to do so.

  • Every marketing email must include a clear unsubscribe option.

  • If someone unsubscribes, we will stop sending marketing emails.

  • We may still send non-marketing emails when necessary (for example, responding to a direct request or providing essential service-related communication).

  • We keep a record of unsubscribe requests in a suppression list so we can honor opt-outs.

Service Provider (Hostinger)

Our website and webserver are hosted with Hostinger. Our website may use Hostinger’s systems (and related infrastructure) to send emails. As a result, limited personal information (such as an email address and message content) may be processed through systems used to host and deliver messages.

Sharing

We do not sell email addresses.

We may share limited information only as needed:

  • With service providers that help operate our website and email delivery systems

  • To comply with legal obligations or protect rights, safety, and security

  • As part of a business transition (for example, a sale or merger)

Retention

We keep email communications, subscription records, unsubscribe/suppression records, and security logs only as long as reasonably necessary for business, security, and legal reasons.

Security

We use reasonable safeguards to protect email information. No electronic transmission or storage method is 100% secure.
